Administrative Specialist
Job Description
The Administrative Specialist provides both basic and specialized administrative support for the overall office and for multiple programs. The Administrative Assistant works cohesively with office and program staff to maintain effective and efficient operations.
Minimum Requirements
High School Diploma or GED (required)
Minimum of 4 years of relevant experience

Job Duties/Skills Required
Effectively oversees/manages office operations, organization, and supplies for a large sized office and staff for multiple programs.
Promptly and accurately performs clerical duties, data entry, typing, supply orders, fleet management, and filing.
Manages client authorizations with insurance companies.
Completes regular authorization and entitlement audits for multiple programs.
Maintain updated and accurate caseload reports for all program staff.
Assists in the development, implementation, and ongoing process of program outcomes and evaluations.
Assists project management staff with program and chart audits.
Admit and discharge clients in all databases.
Capable of working with a multidisciplinary team.
Triage telephone calls and visitors as directed.
Provide information about the agency and community resources as it applies.
Create training guidelines and protocols for office and program activities.
Assist in training incoming Administrative Assistants on all office duties.
May assist with filing, fleet management, and office safety duty protocols.
Utilize the Google Drive, electronic health records, and databases with proficiency and efficiency to assist with the office/program management.
Assist with subsidy administration duties as needed.
